The Production Coordinator’s responsibilities include working closely with our Executive Vice President Sales and Marketing to prepare comprehensive action plans, including resources, timeframes, and budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with clients and internal teams to deliver results on deadlines.

Ultimately, the Production Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet high quality standards. This role reports to the Director and/or VP of Marketing and works on a number of projects across many clients.

Duties/Responsibilities:

  • Providing oversight to the marketing team to ensure projects are completed on time and to specifications;
  • Delegating work and assignments to team members based on expertise, work experience, and time constraints;
  • Coordinating project management activities, resources, equipment, and information;
  • Breaking projects into doable actions and setting time frames;
  • Liaising with team members to identify and define necessary information needed from clients;
  • Assigning tasks to internal teams and assisting with schedule management;
  • Making sure that clients’ needs are met as projects evolve;
  • Managing budgets and creating invoices for each client on a monthly basis;
  • Managing credit card reconciliation each month and building reports for accounting department;
  • Establishing an efficient team and communication policy;
  • Tracking project work times and keeping accurate time sheets;
  • Running project status meetings and other necessary team meetings;
  • Analyzing risks and opportunities;
  • Overseeing project procurement management;
  • Managing project management tools and keeping track of team communication and project statuses;
  • Monitoring project progress and handling any issues that arise;
  • Acting as the point of contact and communicating project status to all team members;
  • Using tools to monitor working hours, plans and expenditures;
  • Issuing all appropriate legal paperwork (e.g. contracts and terms of agreement);
  • Creating and maintaining comprehensive project documentation, plans and reports;
  • Ensuring standards and requirements are met through conducting quality assurance tests;
  • Performing other related duties as assigned.

Required Skills/Abilities:

Education and Experience:

  • Hands-on experience with project management tools (e.g. Basecamp or Trello);
  • BSc in Business Administration or related field;
  • At least three years of related experience required;
  • PMP, PgMP, CAPM, and/or comparable project management certifications highly desirable.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
